A lost document police report is a short written report to the Station House Officer recording that a document such as a passport, PAN card, mark sheet or certificate has been lost. Its main use is practical: the issuing authority, bank or university often asks for a copy of this report before it gives a duplicate.

No specific Act governs a lost document report. It is an ordinary information report kept by the police and is not an FIR, because loss by itself is not a crime. If the document was stolen, for example a pickpocketed wallet, theft is a cognizable offence under the Bharatiya Nyaya Sanhita, 2023 and you can ask for an FIR instead. Each issuing authority sets its own rules on what it needs for a duplicate, such as a police report, an affidavit or a newspaper advertisement. Giving false information to the police is an offence, so state the facts accurately.

Is an FIR needed for a lost passport?

The passport office generally asks for a police report about the loss with a reissue application, not necessarily an FIR. A lost article report from the police station or the state police portal is usually accepted. If the passport was stolen, ask the police to register an FIR for theft. Check the current requirements on the Passport Seva portal before applying.

Can I file a lost document report online?

Many state police departments, including several large states, offer an online lost article report on their websites or apps. You enter the details and download a digitally generated report, often with a reference number. Check whether the authority issuing your duplicate accepts the online version, as most do.

Do I need a police report for a lost PAN or Aadhaar card?

Usually not. A reprint of a PAN card can be requested online from the issuing agencies, and an Aadhaar card can be downloaded from the UIDAI website using your registered mobile number. A police report is still useful if you suspect misuse, for example when a wallet with these cards was stolen.

What should I do if a lost document is later found?

Inform the police station where you filed the report and the authority that issued the duplicate, if one was already issued. For documents like passports, the old one is usually cancelled once reported lost, so using a found document after reporting its loss can cause problems at checkpoints.

Is an online lost report the same as an e-FIR?

No. A lost report only records that something went missing. An FIR is registered for a cognizable offence such as theft. Under section 173 of the Bharatiya Nagarik Suraksha Sanhita, 2023, information about a cognizable offence can be given by electronic communication and at any police station, whatever the place of the offence, but an electronic report is taken on record only once you sign it within three days. If your documents were stolen, ask for an FIR, not a lost report.

Do I need an FIR to get a duplicate mark sheet?

It depends on the board or university. Where a police report is asked for, a lost report usually meets the need, since losing a mark sheet is not a crime and there is no offence to register. CBSE takes applications for duplicate mark sheets and certificates online through its Duplicate Academic Documents System, and its 2021 announcement of that system does not list a police report. State boards and universities set their own rules, so check their current instructions first.
